Legal Entity
This field is used to indicate to which Legal Entity a financial transaction is to be associated. Organizations are designated to be a Legal Entity on the Organization >> Edit >> Financials tab (Financial Organization Type fields).
On Vendor Invoices (VIs), Legal Entity is no longer editable after VI lines have been saved on the VI.
Listing Financial Documents
This field will display the Legal Entity associated with the Financial Document.
The resulting list will be limited to those entries having a Legal Entity with which the current user has visibility (via Organization Access restrictions based on their roles).
Adding Financial Documents
When creating a new Financial Document, you must specify the Legal Entity to which the entry belongs before entering other fields. The list of available Legal Entities will be limited to those Legal Entities with which the current user has visibility (via Organization Access based on their AP/AR/GL User or Poster roles). If the user has access to only one Legal Entity, it will be selected by default.
All transactions entered into an individual financial document must belong to organizations that are within a single Legal Entity. That is, we do not currently support the concept of cross-charging between companies within a single document.
Editing Financial Documents
Once Detail or Paid Document line items have been added to a Financial Document, the Legal Entity can no longer be changed (as the system takes steps to ensure that the line item details are valid within the given Legal Entity).
If a Legal Entity value is changed (i.e. detail line items have yet to be entered), a number of dependent fields may also be blanked out, and the Document Date, Post Date and Fiscal Period will be re-defaulted.
